Codegnan IT Solutions Pvt Ltd (“Codegnan”, “we”, “us”, or “our”) operates the Codegnan: Student mobile application (the “App”). This Privacy Policy explains how we collect, use, store, disclose, and protect personal data when enrolled students use the App.

This policy applies to App data. Codegnan’s website may have separate practices for website visitors, enquiries, cookies, and marketing communications.

1. Student accounts and age suitability

The App is provided to students enrolled in Codegnan programmes. Student accounts are created only by authorised Codegnan staff; users cannot create an App account themselves.

The App is designed for students aged 13 and above and is not directed to children under 13. We do not knowingly create App accounts for, or knowingly collect personal data through the App from, children under 13. If we learn that this has occurred, we will take appropriate steps to delete the data unless retention is required by law.

Where an enrolled student is below the age at which they may independently provide consent under applicable law, Codegnan will obtain the required consent or authorisation through the enrolment process.

2. Information we process

We process the following categories of personal data to provide the App and related student services:

  • Account and profile data: name, email address, student or account identifiers, batch, campus or location, and profile details.
  • Contact and identity data: phone number, parent or guardian contact details, date of birth, age, gender, city/state, and blood group where provided for programme administration.
  • Education and learning data: college and qualification details, skills, attendance, examination records, assessment answers or code submissions, course progress, certificates, badges, rankings, and activity logs.
  • Career and placement data: resume files, job applications, selection status, and placement-related information.
  • Leave and support data: leave dates, reasons, approval status, support requests, and related contact details.
  • Financial or account information: fee balance, payment amount, due date, and invoice references where these are available in the App.
  • Device and technical data: app version, device or installation identifiers, crash reports, diagnostics, performance data, notification subscription status, time zone, and App interaction data.
  • Notification information: preferences and delivery information needed to provide the notifications you select.

3. How we use information

We use personal data to:

  • authenticate students and manage App accounts;
  • provide learning, attendance, examination, certificate, placement, resume, leave, and student-support features;
  • send service-related notifications about classes, examinations, attendance, placements, accounts, or security, where enabled;
  • maintain App security, prevent misuse, investigate issues, and comply with legal obligations;
  • monitor reliability and improve App performance, features, and user experience; and
  • maintain educational, financial, audit, and other records required for legitimate operational or legal purposes.

We do not use student personal data for advertising, behavioural advertising, or marketing, and we do not sell student personal data.

4. Analytics, diagnostics, updates, and notifications

The App uses the following providers to process limited data on Codegnan’s behalf:

5. When we disclose information

We disclose personal data only as necessary to provide the App and associated services, including to:

  • authorised Codegnan staff and authorised training partners responsible for the student’s programme or support;
  • service providers and hosting providers that process data on our behalf under contractual or other appropriate safeguards;
  • professional advisers, auditors, insurers, or prospective business successors where reasonably necessary; and
  • government authorities, courts, regulators, or law-enforcement bodies where required by law or necessary to protect rights, safety, or security.

6. International processing

Codegnan is based in India. Our service providers or their subprocessors may process information in India or other countries where they operate. Where information is transferred internationally, we take reasonable steps to ensure it is handled with appropriate safeguards and in accordance with applicable law.

7. Permissions and files

The App may request notification permission so students can receive optional service notifications. Students can change notification settings in the App or device settings.

The App allows a student to choose and upload a PDF resume using the device document picker. The App does not currently provide student profile-photo upload and does not request camera, microphone, broad device-storage, overlay, or biometric permissions for App functionality.

8. Data retention

We retain personal data for as long as reasonably necessary to provide student services; maintain programme and placement records; meet legal, financial, security, audit, or dispute-resolution obligations; and enforce our agreements. Retention periods may vary by data type and applicable requirement. When data is no longer required, we delete, anonymise, or securely archive it in accordance with our retention practices.

9. Access, correction, and deletion requests

Students may request access to, correction of, or deletion of their personal data by contacting info@codegnan.com. We may verify identity before acting on a request.

Because accounts are created for enrolled students, account and data deletion may require review of educational, financial, legal, security, or record-keeping obligations. Where deletion is appropriate, we will delete or de-identify data within a reasonable period. We may retain limited information where required or permitted by law, including for fraud prevention, security, audit, financial, or record-keeping purposes. Backup copies may persist for a limited period before being overwritten.

10. Security

We use reasonable technical and organisational measures designed to protect personal data from unauthorised access, loss, misuse, alteration, or disclosure. These measures include protected authentication storage, encrypted network connections where supported, access controls, and restricted access to systems and data. No method of transmission or storage is completely secure; students should protect their device and login credentials.

11. Changes to this policy

We may update this policy to reflect changes to the App, our practices, or legal requirements. We will publish the updated policy and revise its effective date. Material changes may also be communicated through the App, email, or another appropriate method.
